Verified email addresses

Learn about how you can notify an email address that's not associated with a user in the Finger-Ink portal.

Verified email addresses let you send Finger-Ink notifications to people who don't have a Finger-Ink login — a shared reception inbox, your practice manager, a bookkeeper, or a team distribution list. Once an address is verified, you can pick it as a recipient anywhere you'd normally choose a team member.

Because these notifications relate to patient form activity, we ask you to confirm each address with a quick one-time code first. That way notifications only ever reach an inbox you actually control — a mistyped address can never quietly start receiving them.

Verified addresses vs. portal users

Portal users are members of your team with a Finger-Ink login. They can sign in and work with responses and patient records.

Verified email addresses are recipients only. They receive notification emails but have no login and no access to the portal or to any patient data.

Reach for a verified address whenever you want notifications to land in an inbox that shouldn't have a full portal account.

Adding and verifying an address

  1. Open the verified addresses page from the account menu.

  2. Click add an email address.

  3. Enter the email address and, optionally, a label (for example "Front desk") so you can recognise it later.

  4. Click send the code. We'll email a 6-digit code to that address.

  5. On the next step, type the code and click verify this address.

That's it — the address moves to your verified list and is ready to use. Until the code is entered it stays on the pending tab, and nothing is ever sent to an address until it's verified.

Already a team member? If the address matches one of your portal users, or a staff member in your practice-management system, we'll show a quick heads-up. It's only informational — you can still verify the address here (though portal users can already be chosen as recipients directly).

About the code

The code is 6 digits and expires 15 minutes after it's sent. Didn't get it? Check your spam or junk folder, then use re-send the code. A new code can be sent one minute after the last.

After 5 incorrect attempts the code stops working — just re-send to get a fresh one and try again.

Managing your addresses

Your addresses live under two tabs. The verified tab lists the addresses that are confirmed and ready to use. The pending tab lists addresses you've added but not yet verified — click enter code on a pending row to finish verifying one.

To stop using an address, click remove. It's taken off every recipient list immediately and won't receive anything further. You can keep up to 50 addresses per account, and you can search by label or email to find one quickly.

Using verified addresses for notifications

Once an address is verified, you can choose it as a recipient in two places.

In your inbox settings, turn on "Notify via email when action is required". Under "Who should we email?" your portal users and verified addresses appear together — tap any of them to include or remove them.

In a form's response rules, add a notify rule in the form editor. It lets you choose exactly who is emailed when a matching response comes in, including your verified addresses.
